Benefits Assistant

New York, NY, United States Full Time

The Human Resources department is responsible for the administration and management of company policies, benefits, personnel relations, recruiting, training and required reporting. The Benefits Assistant will be instrumental in providing support to the benefits team as part of the Human Resources department S/he will work closely with the Benefits Specialist and Director of Human Resources to provide administrative and logistical support for all day-to-day functions of the benefits programs - including medical, dental, vision, flexible spending accounts, life insurance, wellness programs and retirement plans and support the compliance of each area

Key Responsibilities:

  • Assist Benefits Specialist with processing enrollments, changes, and terminations of participants in all benefit plans and programs; update and maintain staff files with changes and waivers
  • Conduct new hire benefits orientations for designated groups of staff and act as back up to benefits specialist
  • Process monthly requests for payments for benefits programs; review and reconcile invoices with finance representative and process and submit to Accounts Payable for timely payment
  • Assist employees with any benefit claim issues or concerns in person, by phone and/or by email
  • Handle all administrative and logistical tasks associated with the work of the benefits team including filing and scheduling of orientations and other benefits meetings
  • Process employee accident reports and file workers compensation claims; respond to inquiries
  • Serve as backup to Benefits Specialist on FMLA and Disability notices
  • Update and maintain employee self-service portal on an ongoing, monthly basis
  • Create and run HRIS reports as requested; create and maintain spreadsheets of data as needed
  • Assist with ACA compliance; maintain accurate records, manage timeline, process annual mailings
  • Complete other relevant tasks or special projects as assigned by supervisors


  • Bachelor’s degree preferred
  • Minimum 1 year experience in benefits administration
  • Bi-lingual Spanish required
  • Expertise in MS Excel is required
  • Must be detail oriented and possess excellent communication and organizational skills
  • Must be professional and personable yet have the ability to exercise sound judgment when dealing with sensitive and confidential matters
  • Experience with Workforce Now ADP and/or other HRIS software strongly preferred

Hours: 35 hours per week
